AI Phone Ordering for Restaurants: How It Works & Tools Compared

If your phone rings out during the dinner rush, every missed call is a lost takeout order or booking. AI phone ordering systems answer your existing number, take the order with modifiers, and send it to your POS or kitchen — while your team keeps cooking.

What AI phone ordering actually does

A modern restaurant voice agent is not a phone tree. Callers speak naturally (“two large margheritas, one gluten-free, for pickup at 7”) and the AI asks the follow-up questions a good host would: size, modifiers, pickup or delivery, name and number. It then reads the order back, and — if the integration is in place — posts a ticket to your POS or kitchen display exactly like an online order.

Most systems also handle the questions that make up the bulk of restaurant calls: opening hours, parking, whether you take walk-ins, allergens, and “are you open on the holiday Monday?”. Anything the AI cannot handle (a complaint, a large catering order, a supplier) should transfer to a person or become a callback task.

The five things to check before you buy

  1. Your exact POS. “POS integration” on a homepage can mean a full two-way menu sync or a ticket printed to a tablet. Ask which POS versions are supported and whether the menu, prices and 86’d items sync automatically.
  2. Payment. Some agents take card payment on the call; others send a pay link by text or leave payment for pickup. Pick the one that matches how your customers already pay — and confirm how card data is handled.
  3. Complex menus. Half-and-half pizzas, combo meals and “no onions, extra sauce” are where accuracy breaks. Test with your real menu, not the vendor’s demo restaurant.
  4. Handoff rules. Decide when the AI must hand to a human: large orders, angry callers, allergies, anything about refunds.
  5. Pricing model. Flat monthly, per minute, per call or per order all change the maths. A per-order fee looks small until a busy Friday.

How to run a fair two-week pilot

Forward calls to the AI only during your busiest service windows first, and keep a staff phone as backup. Each night, listen to a sample of calls and check the tickets that landed in the POS against what was asked for. Track three numbers yourself: calls answered that would otherwise have rung out, order accuracy (orders that needed fixing), and transfers to staff. Ignore vendor ROI calculators until you have your own numbers.

Tell regulars what is happening. A short line on your website and receipts (“our phone is now answered 24/7 by an assistant — ask for a person any time”) avoids surprises.

Phone ordering vs reservations vs “just answer the phone”

Not every restaurant needs the same tool. A pizza shop needs the order in the POS. A bistro mostly needs bookings in its reservation book (see our AI for restaurant reservations guide). And if your problem is simply calls ringing out at 7pm, a lighter answering setup may be enough — compare options in AI for missed restaurant calls.

Once the phone is under control, the next small-effort win is usually reviews: callers who had a good experience are the guests you want to hear from online. Our free tool ReplyHost drafts replies to Google and Yelp reviews so that part does not pile up either.

FAQ

Can AI take phone orders for my restaurant?

Yes. Restaurant voice AI tools answer your existing number, take orders with modifiers, read them back and, with a supported integration, send them to your POS or kitchen display. Accuracy depends heavily on your menu complexity, so test with real orders before relying on it.

Does AI phone ordering work with Toast, Square or Clover?

Several vendors advertise integrations with common POS systems, but support varies by vendor and plan. Ask each vendor whether menu, pricing and 86’d items sync automatically with your specific POS before signing.

How much does AI phone ordering cost?

Pricing models vary: flat monthly fees, per-minute, per-call or per-order charges. Where a vendor publishes a price we show it in the table with the date we checked; many quote on request.

Will customers know they are talking to AI?

Usually, and it is good practice to be upfront. Offer an easy way to reach a person, and keep a human backup line during the first weeks.

What happens if the AI gets an order wrong?

Treat errors like any order mistake: fix it, and review why. During a pilot, check tickets nightly and tighten menu descriptions or handoff rules where the AI struggles.
