How to Respond to Hotel Reviews with AI (Without Sounding Generic)
Future guests read your replies as closely as the reviews. AI can draft a thoughtful response in seconds — but only if you give it the right instructions and keep a human on anything sensitive. Here is a workflow that works for independent hotels, B&Bs and small groups.

Step 1: Sort reviews before you write anything
Not every review deserves the same process. A simple triage keeps AI where it is safe:
- Positive (4–5 stars, no issue): AI drafts, a team member skims and posts. These are the bulk of reviews.
- Mixed (3 stars, or praise plus a complaint): AI drafts, the manager checks the fix it mentions is real.
- Negative or sensitive: anything mentioning refunds, illness, safety, discrimination, accessibility, staff by name in a complaint, or legal threats. The manager writes or rewrites; AI is just a starting point.
Step 2: Give the AI your facts and voice
Generic replies happen when the AI knows nothing about you. Keep a short “house notes” block you paste in every time: property name, sign-off name, tone (warm, formal, playful), and facts guests ask about (parking, breakfast hours, renovation dates). Tell it what it must not do: no discounts or refunds in public, no invented explanations, no promises you have not made.
Step 3: Edit for the one sentence only you could write
The difference between a canned and a genuine reply is usually a single specific line — the bartender the guest named, the noisy room on the third floor, the breakfast pastries. Check that it is there. Then check facts: AI does not know whether the lift really was repaired. Deleting a false claim is better than publishing one.
Example — 2-star review: “Room was clean but the AC rattled all night and nobody came.”
Edited AI reply: “Thank you, Priya, and I’m sorry about the rattling AC — that’s not the rest you came for. Our maintenance team has now replaced the unit in that room. I’d like to hear more about the slow response at night; please email me at gm@… — Daniel, GM.” The fix is real, the apology is single, compensation stays private.
Step 4: Reply consistently, then learn from the pattern
Aim to reply within a few days while the stay is fresh, and reply to the good reviews too — future guests notice. Once a month, look for themes: if three reviews mention slow check-in, that is an operations fix, not a wording problem. Larger review platforms (TrustYou, ReviewPro) do this theme analysis automatically across sites; small properties can simply keep a tally.

FAQ
Is it OK to use AI to reply to hotel reviews?
Yes, as long as a person reviews what is posted. Use AI to draft, especially for routine positive reviews, and have a manager check mixed or negative replies for accuracy and tone.
Should AI replies be posted automatically?
We do not recommend auto-posting anything other than simple positive reviews, and even those benefit from a quick skim. Never auto-post replies to reviews about refunds, safety, illness, discrimination or legal issues.
How long should a hotel review reply be?
Usually two to five sentences, under about 90 words. Thank the guest, reference something specific, state any real fix, and move compensation or detailed discussion to private email.
Can ChatGPT write hotel review responses?
A general AI assistant can draft good replies if you give it your property facts, tone and rules each time. Dedicated tools save that setup and some add review aggregation and analytics.
Should I offer a discount in my reply to a bad review?
Not publicly. Offering compensation in a public reply can encourage complaint-driven reviews. Invite the guest to contact you privately and handle it there.
